Flexible System for Fast-Changing Environment
The City of Dublin VEC required a time management system to grow with the needs of their fast-changing environment. Their previous system was unable to give them the information and flexibility they required. It was unable to process requests for annual leave, days off, sick-leave etc. All requests had to go through the Personnel Department. As a result, there was a huge paper trail and it was very time-consuming for all involved. The Personnel Department had to deal with numerous calls every day, and process all of the information, which was a painstaking process. The previous system was unable to provide for job sharing and parental leave had to be input manually.
CDVEC decided to update to a better system which could deal with all of their requirements. After meeting with several suppliers, they selected Advance Systems’ time and attendance software with web functionality, TMSDOTNET, which was installed in 2003.
TMS “Has All the Answers”
According to Lisa Doherty, TMS Administrator, “Advance Systems’ TMSDOTNET had all the answers. The CDVEC operates approximately five different shift patterns. These are managed and recorded easily and efficiently with TMSDOTNET. Supervisors check requests and anomalies are dealt with. It is hoped in the future to link the system to the payroll package.”
Monitors Flexitime
“TMSDOTNET is a web-based system; all employees can access their own information and request annual leave online. The major benefit is employees who are on flexi time and generate time off in-lieu of hours worked can now do so from their own PC. This has reduced the workload of the Personnel Department hugely, there is no longer a paper trail as it is done instantly and can be checked off by the Supervisor of each Department.”
Biometric Reader
‘“We installed a Biometric reader at the main entrance”, continues Ms Doherty. It is very simple to use and employees reacted well to its introduction. It ensures an accurate attendance list is always available. TMSDOTNET was simple to use from the beginning. The training provided by Advance Systems engineers was really easy to follow as the system is so user-friendly.”
“TMS Makes Our Job Easier”
It is expected in the future to link all 40 centres in the city to the system. At present they operate independently. “Overall TMSDOTNET from Advance Systems has made our job easier”, agreed both Lisa Doherty and Tina McCarthy.
